Sponsor Pipeline

For whoever raises the sponsorship for a tech event

Sponsor PipelineSponsors lock budgets a year ahead. Who do you write to first?

Enter the goal and every company you are thinking of. Free in your browser: how long the list has to be, worked backward from the goal, whether you are still inside the budget window, each prospect scored Hot, Warm, Cold or Skip, who to reach and through whom, follow-ups held to the cap, and the top targets with the next message each is owed. A run writes the outreach plan, or those messages.

Try a sample:

1 The goal and the prospects free

segment: startup, midsized, enterprise - motivation: hiring, feedback, brand, selling, unknown - fit: strong, some, loose, none - signal: fresh, old, none - path: warm or none - stage: identified, scored, first touch, call, proposal, committed, signed, lost - history: new, lapsed, released, last (last edition's sponsor) - first email: clean or links.

    How it works

Size the list from the goal, not the other way around: the goal over the average package gives the sponsors you need, and your own close and reply rates - assumptions until you have measured them - give how many to pitch and how long the list must be. Start around eight months out: bigger sponsors set next year's budget in the current one, so a polished prospectus four months out competes for money already spent.

Go through people first - an organizer or community member who knows someone inside - and where nobody does, ask someone senior only who the right person is. Keep links and attachments out of the first email, talk before you send the prospectus, send the proposal the same day as the call, and stop at three follow-ups. Last year's sponsors belong to the renewal conversation, not this list.
